Discounted hotel rates are available through Fan Expo Canada's travel page. Availability is limited. From what I can tell only the Fairmont and the Sheraton have availability from Thur-Sun now.

Booth:
The booth application has been approved!! A space of 10'x20' (or some slight variation of that) has been granted to us! Booth location is TBD, but in previous years it has been in the hallway of the South building. The precise number of free exhibitor badges is TBD, but in previous years we've been granted oodles, so I doubt this will be an area of concern this year. Those helping represent the community will be granted an exhibitor badge.

Please note, I'll always encourage folks to go out and explore and enjoy the con! At the same time, if you are granted an exhibitor badge, representing the 405th should be your priority. We will all work together to make sure the booth is manned throughout the entirety of the convention.

Booth layout will be coming shortly!

Final Thoughts:
This is our chance to help the Canadian Regiment grow and flourish! Over 135,000 people attended Fan Expo Canada in Toronto last year! If we get out there and yap non-stop about this awesome place we call the 405th, I am sure that we can get even more Canadians interested in Halo cosplay and participating in the community.

Our ultimate goal with convention booths is to show the public the awesome things they are able to achieve with the help of the 405th. Initially they are drawn to our booth because of the super awesome props and costumes you have created, and from there we can encourage them to check out the forums, get a-craftin', and build their own character. If encouraging folks to discover the joy we've found in making costumes and props is something you'd like to do, then please consider coming out to this event.

There isn't a ton of really big outreach opportunities like this one for the Canadian Regiment, so we have to make Fan Expo count. I'm hoping for a BIG bump in membership this year. But it can't happen without YOU. I'd love to see some help from you neighbouring folks in the Midwest especially. If you have the means to make the trek north to Toronto, I'd be honoured to have your help in spreading the word about the 405th. The 405th is a world-wide community after all, let's use that to our advantage!

Make sure you don't bring any prohibited items into Canada. Notable items that are prohibited are: brass knuckles, pepper spray, certain foods, and of course real firearms. See this page to see the full list of what you are permitted to bring to Canada. While prop guns without orange tips are technically not illegal, they are prohibited on convention grounds.

I don't think I'll make it this year, but put me as tentative anyways. Things can always change as the year progresses and I may get a con itch between July and end of Sept. If anything, maybe a 1 day appearance.

I am tentative, looking into getting a good flight and budgeting accordingly as I would for Dragoncon.
 
Would Covie props be ok? Plasma pistols, Energy Swords, Grav Hammers?
Should be totally fine! I've brought all sorts of covenant props, my grav hammer, and UNSC orange-tipped weapons in in the past few years with absolutely no issues.

UNSC weapons without an orange tip are actually allowed at the booth for display purposes only. For walking around the con though, orange tips are a must. I'll put that little piece of information once the booth in confirmed.

I am tentative, looking into getting a good flight and budgeting accordingly as I would for Dragoncon.

Just a lil update because I know this thread has been quieter recently

A rep from FanEx has reached out! There is a strong chance that they have a 10x20 +/- a few feet space available. They are finalizing details with other cosplay groups and will HOPFULLY get back soon to let me know if we get that space.

Updates on a few things

I requested a change room. Unfortunately, change rooms are not available for any community besides the 501st, and theirs is rather small at that. All of the rooms are used for content or panels. Sounds like we'll have to figure out a storage solution and a space for changing and such. Last year we just used cars - sounds like that's what we'll have to do again this year.

Load-in information will come "soon" along with booth information. We'll have lots of stuff and people all coming in one vehicle, likely with a trailer, so I think going through the loading dock may be out best bet. More info to come later.

Space to park, and trailer parking, is not handled through fan expo. We'll be on our own to figure that out.
