Welcome! For those of you that don't know, I've accepted the position of Executive Officer for the Pacific Regiment and I'm very excited to help all willing and able Halo cosplayers to meet and share experiences.

Regiment leadership has decided to help in this process by sharing with you our weekly meeting minutes, so you know what leadership knows! We will also have the most detailed information about upcoming events in these posts.

Agreed to anchor event posts to the forum. We will make a thread in the Conventions and Prop Party subforum about an event. The first post in the thread will contain the most up to date information. A link to that thread will be posted in various social media. The goal is to drive members responses back to the forum so that everyone has the same information and can see all responses.

2. RMO position
We discussed a potential candidate for the open position of Regiment Membership Officer (RMO). All members were good with the selection and we will announce soon.

b. There are baseball games going on at the stadium next door during all three days. Expect traffic and parking to get bad 4pm and later.

a.HALO World Championship 2018
What went well:
i. We maintained a consistent presence throughout the show. We were courteous and composed for all photo shoots and requested appearances. We had fun!

What did we learn:
i. New and old cosplay attendees should be reminded that other people's personal property is off limits. This includes other cosplayer's props and armor. Whether you are friends or not you must ask the owner's permission each time you wish to handle something that is not your own.

ii. If giveaways are involved leadership will task one person to divvy them out. If common places are provided leadership will task one or more members to clean up at the end.

2. Changes in WA Battalion
Our WA Battalion Commanding Officer Aliya Mathews Huntress217 has unfortunately decided to step down from her position so that she may pursue more cosplay adventures and continue to participate in 405th events. On behalf of the Regiment we thank you for your service. At this time the RCO will handle event planning and the RXO will relay information to the regiment. Information will still be posted to both Facebook groups, but members will be encouraged to post to the Pacific page as to include all regiment members.

3. Changes in Regiment
After careful consideration the RCO and RXO have appointed Jacob Gabel aka HitboxWorkshop as our new Regiment Membership Officer! Jacob joined up locally with 405th members after a PAX convention in 2015 and was able to finish a Spartan in time for the launch of Halo 5. Since then he has been active and helpful to cosplay members locally and online through many social media outlets. On behalf of the Regiment we thank you for accepting the position and challenges to come.

4. Official Pacific Photos
We would like to consolidate where members can find only the best photos Pacific Regiment has to offer. A plan is in the works and more details will follow.

1. 405th Photos
In an effort to provide everyone with only the best photos of themselves and other members we are creating an official drop box for Pacific Regiment Photos. Separate drop boxes will be created for each event. During the weeks to follow, staff will pull the best photos and place them in the official drop box.

2. 405th Social Media
We will continue to push data out during events to Division PR arma358 so that he may post to official social media. We will also be revamping our own regiment social media presence.

3. Recruitment Booth
The regiment will be posting about the creation of a recruitment booth this week. After regiment members provide their input we will begin construction. Booth space has already been set up for Jet City Comic Con in November!

1. Halo Waypoint Community Spotlight
Many of you know that Waypoint does a community spotlight. As a big part of the Halo community we want to strive to provide amazing content for this feature. Currently, 405th members around the world are making a ODST/Jorge hybrid for a random kid in Washington State. Our project finish date is end of October. We hope to be able to present this project to Halo Waypoint.

2. 405th HWC Videos
Workers at the MLG event HWC 2018 filmed some of our members with some hi tech equipment. Keep an eye out on Instragram as it will be posted this week.

3. Recruitment Booth

1. Refocus Facebook Presence
With member numbers not increasing the way they use to we'd like to encourage Washington battalion members to post in the Pacific Regiment page instead of WA for a while.

We've made some changes too. We've added a question for new members. We've added categories for posts so you can filter by staff announcements, event photos, etc.

2. Potential new event (Auburn, WA)
Keep your eyes open for a new one time only event. The details have not been narrowed down, but we will make an announcement soon! So far all we know is the city, that it's this summer and the event will be Halo themed.

1. PAX West
Tickets sold out fast! Just as expected. However the twitter feed many people follow did not alert them. If you are without tickets then be aware many people will be selling theirs closer to the event once they are not able to go. Be careful buying second hand! I personally know stub hub has a zero percent return policy. We would recommend sticking to the Halo and Cosplay communities first. Many will take to Facebook to let others know of their available tickets.

Pacific Regiment will also be submitting for a panel. The panel will be focused on getting new members started. What exactly does it take for a first-timer to make a high quality costume? If you know the answer and are willing to share it on a stage then shoot me a PM! We have two available seats on our panel. You will need evidence of your ability and character, such as costume photos and to view your Facebook profile.

2. Dave & Busters
Many may have seen the ads rolling out on Facebook for the new Fireteam Raven arcade game launching exclusively at Dave and Busters. We have been in contact with locations in both WA and CA for approved spartan appearances. Visit our Facebook page often to get the latest. We will know more towards the end of June with the event being sometime in July (most likely).

For those of you that don't know the 405th is all volunteer. We'll be funding this booth build ourselves without hesitation, but we won't stop you if you want to contribute as well! We'll be putting out a budget and goal markers on social media with more information.

405th staff is constantly looking for opportunities for members to troop. Even when we find them we often don't get as much (or any) information.

We know the arcades are shipping this week and will be set up promptly. We know that one location in WA and one location in CA wants us there.... that's about it.

1. Battalion Introduction
A Battalion is a sub unit of a regiment. It focuses on a smaller geographical area and allows members to create groups and merchandise for said area. We have had a grandfathered Battalion for some time being in the shadow of Bungie and 343i. But, now the 405th will start sanctioning Battalions worldwide. This means that our Battalion will need to submit an application to keep it's status. Currently WaBat has no leader... so unless someone steps up then it will be dismantled until further notice.

Here are the requirements for Battalions:
  • The name of the Battalion.
  • The names - forum and real - of all proposed members and their locations (There must be at least 5)
  • The proposed staff (must be at least a BCO).
  • The geographical area they cover (REMEMBER ALL MEMBERS MUST BE WITHIN THIS REGION)
  • And a little information on why you believe this arrangement will be beneficial to the Regiment and to those in the Battalion.
You can send your submissions to any of the names at the beginning of this post.

2. PAX West Panel
We have been approved for a PAX Panel this year! It will be Monday, September 3rd at 12:30pm in the Hippogryph Theatre. The title is "Cosplay: Feet First into Halo with the 405th Infantry". The focus will be on how to get started in crafting. Specifically how to go about choosing what medium to use to craft a suit be it EVA, resin, casting or 3d printing. It will also feature our member Longshot-X who can speak about what it is like to do filming in cosplay.

3. Neighborhood Heroes
Is a scholarship fundraiser. This year they are hosting a Halo 3 FFA Tournament. They have asked us to come and entertain the kids while they play. Here is a link to their facebook event to learn more. If you want to attend please RSVP with either myself or HitboxWorkshop.

4. Booth Build
We've begun the process of building a booth. But, the final assembly I am confident we can do in one day if people make it out to help. I will have written plans and practice pieces for those that haven't done woodworking before. It will be at a private residence with plenty of work and leisure space. We will most likely be making a brisket or something on the RecTec. August 25th. Please PM me for the address, but it will be in the south end of Pierce County Washington.

1. 343i Community Day

Every Friday of PAX, 343i hosts a community day for members of the halo community. They give a limited number of spaces to each group within the community, such as: cosplayers, game developers, pro gamers, collectors etc. I'd like to take a moment to explain how we decide who to give our invitations to.

First, to be considered you cannot have gone before. Even staff will forgo their invitation if a new member has not gone. Second, we consider which members have been most active in our group (also other regiments if we know they will be going to PAX) and reach out to them individually. If there are still spaces left we make a Regiment group post about it. Again, members who have not gone get priority. If there are more applicants than spaces then we will select at random.

2. Neighborhood Heroes

We are very excited to be working with this local charity. After working with them on this upcoming event (described in post above) we've decided that we would like to do more with them in the future. Potential events may include more gaming tournaments or possibly armor crafting days for kids. If you want to get involved in these kinds of events please let us know.

3. Community Standards

Several recent events have lead us to discuss appropriate behavior for our members. Members who are reported to have violated common community standards such as sexual harassment, aggressive behavior, theft, damage of personal property, etc. will be placed on the radar of regiment staff. Reports of a second violation will be handled on a case by case basis, but may result in the removal of a member from the group. All reports submitted to the Regiment will be forwarded on to Division staff to be recorded.

You may have noticed we've been a little quiet. It may not be time to fully reveal why, but the reason is good. I'm talking 343i + cosplay good. They are very close to showing their reveal at which point we can tell you. Look for it in the next staff update. :)

2. Event Recaps

a. PAX WEST
This event went so well. I personally was a bit underwhelmed by the event itself. Mostly because the volume of people and stuff made it hard to determine what to do. But, 405th involvement was awesome! We had a great turnout to the photoshoot. And our 405th led panel was a hit!

b. Rose City
What a great convention. We found a few wayward Halo cosplayers being beckoned to our new Recruiting Station. We met very kind brothers who took photographs of us. Very much looking forward to a 405th presence again.

c. RenCon
Definitely a different kind of convention. Being a mile away from the main event, sitting in a mall store differently got passer bys interest, but didnt have the same carefree spontaneity that other experienced at the hotel convention. One lesson learned is stick to one contact. Three way communications can lead to misunderstandings.

3. Neighborhood Heroes

Our favorite local, non-toxic, gaming community is back at it. They'd like to join up with us to host a costume build day. If that sounds like anything you would like to be involved with please message any Pacific Regiment staff.

1. 343i Commission

The secret we were not allowed to say before is out!!! Mid last year 343 Industries commissioned our RCO, EVAkura, to make a wearable Halo 5 Master Chief costume. This is awesome for two big reasons. One, they specifically wanted someone from the community, someone from 405th to build it, that's cool. Two, this means that 343i now owns their first costume. Not one designed for a movie trailer that gets hung on a wall, but a legit cosplay that they will now be bringing to shows from Comic Cons to Halo Outpost Discoveries! They are going to cosplay their own character! :)

With help from our RMO, HitboxWorkshop, they have now completed the suit! The new MC cosplay launched by appearing at a Make a Wish wish for a child. They also sent him to ECCC 2019 with us last month for our photoshoot. You should see some photos soon and Phil does plan to show more How it was Made kind of stuff. In addition, the two builders own the molds and will eventually WHICH MEANS THEY CAN SELL CASTS! They will eventually make the suit available and currently they have the helmet for sale. 2. Event Recaps

a. ECCC
Considering we changed up a lot this year from what and where we've met for the last many years we are really happy how it turned out and thankful for everyone's participation and patience.

One thing we would like to do differently for future large meet ups like this or PAX is better stream line getting photos. We know it takes awhile for photographers to edit and organize their con photos, but we're at four weeks from the event now and not a single photo and we don't know who to contact for them and they probably don't know where to send them. We're leaning towards having a unique card to give to photographers at the meet-up that has the link to a dropbox where they are encouraged to drop any photos edited or not.


3. Renton City Retro

The next place we've been asked to take our Recruitment booth is Renton City Retro. This is their sixth year as a gaming expo and we are very glad that they reach out to us. They've even posted that they will be allowing less vendors this year to steer away from the "con-like" atmosphere and focus more on their gaming exposition efforts. We will need help maning the booth for the two day event so please message us if you are able to attend out of costume.

I am super happy to announce indigoD0g has accepted the position of RXO for Pacific! I have known about her for a while and as soon as I thought of her for this role there was no hesitation and I immediately reached out to her. To start our first meeting, I had everyone share what they thought their role in the Regiment was and any traits they possess that might help them in this role. I’m going to share with you what these roles are and how we as this year’s staff will fulfill that role.



  • RCO – The Commanding Officer’s defining role is to intervene during a quarrel or crisis. To make sure that all members are treated fairly in a variety of situations. In order to achieve this the CO must also know the interworkings of the 405th Infantry Division, to know which rules that need to be followed or which Division staff to reach out to in order to reach goals and resolutions. I have developed a lot of relationships within the 405th through my years. I feel that other staff, Division and Regiment, are very competent in their positions and together we can get through or resolve just about anything. As a sales person in my day job, I think I have the ability to see/hear what a person wants even if they are not being direct about it. I also think that my skills in organization and communication will help the three regiment officers move forward as one solid force resulting in more engagement for our members.



  • RXO – The Executive Officer is meant as the person who gets things done. Primarily this is through event coordinating; photoshoots, game nights, meet ups, crafting parties. But, also includes digital community engagement such as social media posts, polls, announcements, event photo online drives. In an ideal, very active regiment, the RXO would help other members spearhead these kinds of things. In a less active regiment, the RXO can also step in and be the one leading these activities. Considering that I am in Washington and Indigo is in California, we will likely each be doing this in our own respective states and sharing the duties for the other states as well. With a background in writing, IndigoD0g seems very capable of handling the workload involved in planning and promoting these activities. Her organization skills are also top notch, combined with paying attention to details, I think her skill sets will really shine through in this position.



  • RMO – The Members Officer is our first line of contact to our regiment members and those wishing to join. While anyone can reach out to any staff, the RCO or RXO might forward inquiries to the RMO for a quicker response. It is then their job to know all elements of 405th life: how to join, the different social media outlets, where to find event information, along with rules and regulations to help keep our group a common ground. Nick enjoys talking to people about the 405th because he has a real love for the group. His day job has him working often in teams and feels very comfortable as a staff member and as a standard member which is exactly where an RMO needs to live.


2. Overview of Forum and Social Media

To start our staff relationship I wanted to share my views of the forum and other social media. I think it is the basis of keeping a unified voice to know the foundation of where we as a group interact. This will also give us a chance to figure out which staff members are suited best to monitor specific outlets or if we will each have a hand in all of them. We’ll likely circle back to this on our next meeting.

  • Forum – The heart and soul of our building community. Honestly, it is the best place for build threads and tutorials. It has a great search engine and individual builds or tutorials don’t get completely buried like trying to post build updates in a Facebook Group. When posting builds or questions here, you may not get a ton of responses, but the responses will be from people serious about building Halo armor.

    Also, it serves as our hub. All information gets routed through the forum first; announcements, voting outcomes, special events, regular events, regiment activities. Once posted on the forum it can then be linked to other outlets. But, we really encourage all conversations on a topic be held in one place and our one place is the forum.

  • 405th Facebook Group – not the regiment, but the main group which is open to all non bots. This is not a supplement for the forum, but it is a great way to show off work or ask questions about work and get immediate response from people most likely at least interested in Halo if not in crafting. It’s also a fun way to pass some time.

  • Pacific Facebook Group – this is an invite only group for regiment members, soon to be regiment members, other 405th staff and other regiment members that travel to our area often. Some people use this like the main Facebook group, posting questions and photos, which is fine, but the main purpose is to disseminate information to our members quickly. They may not check the forum every day, posting here should at least give them a notification that something is up.

  • Instagram / FB Page – I view both of these the same, in fact should mirror each other in every post. To me both are our outlet to people outside of the 405th. With the use of hashtags we can get non 405th members looking at photos of 405th members in the hopes to get people interested in joining. At the very least it should help increase the social media followings of our members. IndigoD0g is looking forward to increasing our presence here with more posts, more members highlights, more mirrored forum announcements and much more.

  • Discord – This one is still new, but has grown leaps and bounds. I believe it is because it filled a much needed void in the forums at the perfect time. At one point, the forum was becoming saturated with gifs and memes and general off topic conversations. All these things were much needed to bring life and fun back into the group, but it was diluting the build content. Enter the Discord… our place to just be silly and still talk about building and all things Halo. Once you join, you have to change your nickname to match your forum name and then request access to the full server. You will be surprised at the amount of avenues for discord within our server. It really is a place for everyone and often makes me feel old.

  • Gmail/Google Drive – Our official regiment Gmail is a great way for us to look professional when corresponding with event coordinators. And our google drive is often shared with members to allow for photo dumps after events.

3. Future Projects

  • FAQ for Pacific Staff – We get asked a lot of the same questions, like how to join a regiment, why did I not get accepted into the Facebook group, etc. As a staff team we are going to create a google drive that the three of us can use to record answers to frequently asked questions. In addition, we will also be creating action steps, such as what do we, as staff, need to do once we accept someone into the Facebook group. These answers and actions will not only help us answer people quicker, but also with a more consistent voice. I’d like to avoid getting two contradicting answers when asked the same question. This would not be something available for the public to view, just an internal document for staff use. This is because most answers are not one fits all. The core may be the same, but we will tailor our responses to member’s specific needs.

  • Business Card Linktree QR Codes – Indigo mentioned how much forum traffic she gets off of her Linktree. Nick mentioned a desire to have QR codes on our armor. So we came up with the idea to have QR codes on our staff business cards that are our Linktree URL! We also really recommend this to members. Possible a little flap on your armor that you can lift up and people can scan. We’ll write up a little tutorial, but basically you make an account on Linktr.com to have links to all your social media (including the forum or your forum build or your forum profile), then google “free online QR code maker” and viola!

  • Members List – needs a major overhaul. Our big project will be converting the Pacific Regiment members list we do have into something easier to look at, then filling it out with more members that we know of, followed by how to maintain and add new members to it without getting behind. The list is very useful for situations when we have appearance requests in small towns we can look to see who is nearby. Or if we have appearance requests for specific type of costumes, like ODST or Master Chief. We also track member’s resources, like if they own a truck, or CNC or vacuum former. When we get requests from members for help we can often put two members together to get it done.

1. Regiment Announcement Opportunities

Now that Pacific has more staff I'd like to use that to recognize our members more consistently. indigoD0g has already been doing a great job on Instagram with more posts and stories. We've discussed ways we can use that platform to further promote what our members are doing.

In addition, I believe there should be certain acts that trigger a staff response. Such as, someone joining our Facebook Group should trigger us to make a post welcoming them and trigger us to DM them to get to know them while also updating our Member's List.

Other acts we think should trigger a Facebook Group post and Instagram post are: a member meeting the requirements to join the regiment, a member achieving deployment, and a member receiving any outside accolades for a Halo costume or prop.


2. Regiment Member's List

There are a lot of past, present and future members in the Pacific Regiment. It has been difficult to create and maintain a proper Member's List. The benefit is being able to reach out to members quickly and efficiently. Knowing which member has which costume located in which city and the best way to contact them.

We've developed a plan for all three of us to rebuild the list. We've also established how all three of us will maintain it. Namely by the first staff member to come in contact with a new member it is their job to then follow through with obtaining more information while also answering their questions and guiding them in their 405th journey.

We base a lot of the information we record off of this questionnaire. If you haven't completed it yet we request that you do so as soon as possible.




3. FAQ and Actions List

As staff we get asked a lot of the same questions which is to be expected. To help make sure the three of us are speaking with the same voice we're developing an internal FAQ that all three of us are contributing to and using.

In addition to question answers, the FAQ will also contains actions like: If someone requests to join the Facebook Group and they qualify... then you need to do these things followed by a list of things.

I believe this will not only reduce staff time responding, but also increase member engagement by having more consistent private and public messages, treating each member as equal as can be expected.

1. Event Preparations

There are a few ways in which we can appear at an event. An entity can request our appearance, we can reach out to an event and make known that we'd like to appear, or can use our connections with official groups to coordinate an appearance. We are notified of an event once a request has been verified by our Division level staff. From there, we to decide how to proceed.

Once we have confirmed our presence at an event, we begin planning. The first step is to make a forum post for the event, which allows members and staff to get a hold on who will be attending. The forum post should include the big details of the event, such as photoshoot information, dates, times, panel info, and parking information!

From there, we can share this information to our other platforms, such as Instagram, Facebook, and our event specific Discord! Here is that link:

2. Photoshoot Scheduling

One of the biggest and most engaging parts of an event is the photoshoot! Usually, they're held in a public place that individuals without tickets can still access. Promoting the photoshoot through social media posts is a great way to get a good turnout - especially if members live nearby but don't have time for the full event!

Using Google Maps street / satellite views are ways to scout out potential photoshoot locations for places that we are unfamiliar with. If we live close to the venue, we could scout out the photoshoot sites beforehand. Choosing a location that is easy to get to (remember - bulky armor), has a good background, and is in a place that won't be obstructed by heavy foot traffic is a good start. Use the Instagram "location" tag to see where others have taken group photographs, it could be a way to scope out viable options.

3. Staff Expectations for Events

The 405th Event FAQ is our guideline for appropriate behaviors and operations. Check it out if you'd like to learn more about how we operate at events! Staff members are expected to uphold and model these behaviors, create a positive environment for all through your actions!

Something to make known to other members is that on certain days of the event, we will be relatively unreachable. This could be due to running a booth, speaking on panels, or even because we have gloves that prevent us from typing! Armor is a difficult thing to work around, so handlers may be responsible for replying to members with questions! Either way, being transparent about this, including all information for the event in posts leading up, and communicating beforehand will help minimize these problems.

4. To Do!

We plan on being consistent with updating the FAQ list. This list has info on how we plan on responding to commonly asked questions. indigoD0g has added a hashtag guide in the document for Instagram posts. She also plans on creating a thread soon for SDCC with relevant information for those that plan on going. We're updating the members list as we go as well.
